Job Title: Operations Manager
Reports to: Clinical Director
Supervises: Office Volunteers
Organization Focus: Green Hill Therapy is an outpatient therapy clinic, located on an 11-acre farm that provides occupational, physical and speech therapy services to children with special needs. Therapy sessions combine a highly specialized treatment approach known as Hippotherapy with more traditionally clinic-based therapy. Our therapists utilize the movement of our specially trained therapy horses, with the assistance of equine team members, to help children with Autism, Down Syndrome, Cerebral Palsy, Spina Bifida and other conditions. Job Focus: The Green Hill Therapy Office Manager is responsible for a wide variety of administrative, operational and bookkeeping tasks.
- Complete basic bookkeeping functions including processing payments, creating client invoices and maintaining all financial records.
- Managing volunteers to complete office work and administrative tasks.
- Coordinate incoming mail, email, phone calls and other communications to ensure the correct members of the organization receive proper information.
- Maintain operation of clinic including ordering necessary materials, cleaning, and other basic office functions.
Responsibilities:
- Manage incoming and outgoing mail, sort and distribute accordingly.
- Monitor and respond to emails related to billing, correspondence, and inquiries.
- Process online donations and payments.
- Answer and handle incoming phone calls.
- Create bank deposits and reconcile accounts.
- Issue checks, order supplies, and manage payroll.
- Maintain and update office records and systems.
- Assist with monthly and annual financial tasks.
- Coordinate tax information with CPA and Board Treasurer.
- Perform general administrative tasks as needed.
Qualifications:
- High school diploma or equivalent
- Previous experience in office management or administrative role preferred
- Proficiency in Microsoft Office Suite and QuickBooks
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Payroll experience preferred
Compensation
- $25 hour, 15-20 hours a week. Flexible schedule.
- Participation in 3% matching IRA program
- 15 hours paid time off after six months
- 15 hours paid holidays after six months
